JOB TITLE: Executive Assistant to Managing Director, Retirement & Longstanding
LOCATION(S): Edinburgh or Leeds
HOURS: Full time
WORKING PATTERN: Our work style is hybrid, which involves spending at least two days per week, or 40% of our time in the office.

About this opportunity

An exciting opportunity has arisen to join the Insurance, Pensions & Investments business as an Executive Assistant providing direct support to the Managing Director, Retirement and Longstanding.

You’ll get first-hand insight into our people and business strategies and will play a key role in delivering these. You’ll provide direct support and counsel to the Managing Director (MD), Retirement & Longstanding (R&L), helping to shape and influence strategic projects and collaborate across R&L and Insurance, Pensions & Investments (IP&I) to ensure for delivery. We work in a fast paced and hugely varied environment where we balance multiple priorities. Being able to influence and collaborate with key internal and external partners is a critical element of being an EA. You'll engage with senior colleagues to steer and challenge key business decisions and support successful development and delivery of business objectives.

Your accountabilities will include:

  • Provide co-ordination and planning support for the MD, R&L, assisting in the day-to-day management of their role, and with the Personal Assistant, coordinate the efficient daily running of team priorities, screening incoming requirements, responding, redirecting and prioritising as needed.
  • Provide strategic support and challenge to the MD, R&L, developing partner management across a varied, multi-divisional and senior group of people, always taking an end-to-end commercial lens.
  • Contribute towards the delivery of all strategic objectives of the MD, R&L and broader R&L teams.
  • Lead preparation and coordination of impactful and engaging committee papers, agenda planning and cross-team contribution.
  • Stay ahead of emerging issues to ensure the MD, R&L is in the know - create briefings and presentations in advance of sessions where required.
  • Ensure the smooth running of the R&L ELT Team meetings and calls, including briefings and agreement of agendas and shaping of relevant content.
  • Analyse key themes using people / colleague engagement data from various sources to determine solutions to various people challenges and opportunities – lead and work closely with the R&L team to deliver the people plan.
  • Lead the internal and external R&L communications strategy, manage the R&L comms and engagement manager and collaborate with GCA to ensure delivery of activities.
  • Support the MD, R&L in her capacity as sponsor for the Embrace our Differences DE&I workstream working closely with the DE&I IP&I team to deliver the strategy.
  • Own specific research on a wide range of subject matters and identify improvements for the team, providing recommendations for solutions where appropriate.

  • Excellent verbal and written communications skills, including Board paper development.
  • Strong relationship management skills, demonstrated with impact at Executive level, with the ability to influence and coach, developing trust through honesty, integrity, and authenticity.
  • Excellent attention to detail with the ability to simplify the complex and balance changing priorities.
  • Good strategic understanding of the IP&I business.
  • Awareness, understanding and interest in the wider business, economic and market environment.
